The Edit Work Order modal is where all job details live after creation. Open it by tapping the edit icon on any work order you have access to. Admins, managers, the work order creator, and assigned employees can all open the edit modal.
Information
The Information tab contains all core job details. Every field here can be updated at any time.
- Project Title — the name of the job as it appears across the app
- Client Name — the client or property owner for this job
- Address — the job site address
- Email — primary client email, with an optional secondary email. Each can be labeled (e.g. Office, Personal)
- Phone — primary client phone, with an optional secondary number. Each can be labeled (e.g. Mobile, Office)
- Scope of Work — a rich text description of what the job entails
- Estimated Work Dates — optional start and end dates. Setting a start date on or before today will move the work order to In Progress on next login
- Priority — Low, Standard, High, or Urgent
- Project Documents — labeled links to external documents (e.g. Google Drive files, plans, permits)
- Referral — optional field to record how the job was sourced (e.g. a person's name, Yelp, Google)
- Tags — select from your company's existing tags to categorize the job
Admins and managers also see a Billing section on the Information tab. This includes a 'Retainer Work — Do Not Bill' toggle and, for admins only, a Cost Override field to set a fixed total instead of a calculated one.
Labor Hours
The Labor Hours tab shows a running total of logged hours per assigned team member, with an expandable history for each. Admins and managers can also add missed hours for any team member and log external contractor time here. See the Time Tracking articles for full detail on logging and editing hours.
Subtasks
Subtasks are checklist items attached to a work order. Add a subtask by typing a name and optionally selecting a due date, then tap the plus button or press Enter. Existing subtasks can be marked complete, renamed, given a due date, reordered by dragging, or deleted.
Materials
Log material purchases against the job. Each entry takes a date, a store or description, and a dollar cost. The tab shows a running total of all material costs. Entries can be edited or removed after saving.
Partners
Link subcontractors and partners from your Partners list to the job and record the amount invoiced by each. Search your existing partners to add them, or add a new partner inline if they aren't in your list yet.
Cost Summary
Visible to admins only. Shows which cost calculations from the Admin Portal are applied to this work order. Calculations can be applied or removed here on a per-job basis.
